Stock management guide for NDD Print MPS for customers with centralized stock

This tutorial explains how to set up and maintain a centralized stock scenario on the NDD Print MPS portal, in which supplies are received at a single location and redistributed to other sites.

The goal is to centralize control of materials in a single stock, making it easier to track quantities, update information monthly, and generate replenishment demands.

Understanding the scenario

In this model, the customer has a centralized stock. This means that supplies are sent to a single location—such as Salvador - CAB—and from there are distributed to printers in other locations.

In MPS, all management of these materials must be centralized in a single stock.

Set up the centralized stock

Define the default stock

Choose which site will be the central stock, for example Salvador - CAB.

After that, remove or ignore the other stocks and sites that will no longer be used.

Go to: Companies > Properties > Sites Tab

For each site that will no longer be the default stock:

  • edit the site;

  • select the correct stock warehouse as the linked stock warehouse.

This way, all locations will begin using the same centralized stock warehouse.

Reorganize the printers at the central location

Transfer all printers from the other locations to the centralized location, such as Salvador - CAB.

After the migration:

  • delete the old locations if they are no longer in use;

  • set the new central location as the default site.

Register the supplies in the unified stock

Compile a list of the necessary supplies

Use the PDF spreadsheet sent by the customer as a basis, which contains:

  • the list of equipment;

  • the required quantity of supplies.

Register the toner cartridges

For each toner cartridge, follow these steps:

  1. Identify the correct part number, such as TN-3472.

  2. Verify this information under:Printers > Printer Properties > Supplies Used

  3. Access:Stock > Salvador CAB > Level Configuration

  4. Locate the supply’s part number.

  5. Enter the item with its minimum and maximum levels, for example:

    • minimum: 3

    • maximum: 3

  6. Adjust the current quantity based on the physical inventory reported by the customer.

Update stock monthly

Whenever the customer sends a new spreadsheet:

  1. check the current stock reported;

  2. compare it with the data recorded in the MPS;

  3. update the system if there is a discrepancy.

This routine helps keep the information consistently aligned with the customer’s actual situation.

Generate replenishment demands

When a replenishment need is identified:

  1. access: Customer Inventory > Generate Demand

  2. select the desired material;

  3. enter the requested quantity;

  4. send the demand to the logistics team responsible for fulfillment.

Execute the monthly workflow

Every month, follow this workflow:

  1. receive the spreadsheet from the customer;

  2. validate the current stock values;

  3. compare this information with what’s in the MPS;

  4. update the stock in the system, if necessary;

  5. generate replenishment requests based on the “PDF Replenishment” column;

  6. monitor logistics’ fulfillment of the demand.

Best practices

  • The toner name in the MPS does not always indicate the printer model. Therefore, it’s important to know which supply corresponds to each model.

  • Always use the exact part number.

  • Make updates as soon as possible to maintain reliable control.

  • For new contracts or when exchanging machines, review the toner list according to the new installed base.

Application to other customers

This same model can be used in other scenarios, such as:

  • customers with centralized sites or stocks;

  • customers who work with monthly spreadsheets.
